Project concept · Calls and dispatch

End the call with a request your team can use.

We set up a voice assistant for recurring rental and service requests. It asks for the agreed details and prepares the handover so your dispatch team can take the request forward.

Project offer · Scope and implementation are agreed for your operation.

THE STARTING POINT

Where effort builds up today.

After the call, the equipment, site, dates or callback number are missing. Dispatch has to ask for information again before checking availability or planning a visit.

THE DELIVERABLE

What you have at the end of the pilot.

01

A conversation flow for your requests

We define required details, relevant follow-up questions and the point at which a staff member takes over.

02

A structured request

Captured details are delivered as an agreed record or task draft. Unknown information remains marked as outstanding.

03

A verified handover

Test calls are followed through to acceptance by dispatch. We document gaps, incorrect routing and follow-up questions.

FROM TRIGGER TO HANDOVER

How one step leads to the next.

  1. 01

    Answer and classify

The assistant clearly introduces itself as AI and establishes whether the call concerns rental or a service issue.

  2. 02

    Capture the required details

Equipment, site, dates and callback details are collected as appropriate to the request.

  3. 03

    Hand over the request

A structured draft is provided. Unclear topics or those requiring a person are passed to dispatch with context.

  4. 04

    Confirm handling

A staff member accepts the request and then confirms availability, pricing or other commitments. The service lead checks the complete handover path.

YOUR EFFORT

We connect to your systems.
You stay focused on daily business.

What we take on ↗
  • One contact personSomeone in your team who knows the workflow.
  • Access to examplesDocuments, recordings or test accounts, depending on the task.
  • From managementOne kickoff conversation and the decision after the pilot.
THE FIRST DEPLOYMENT

A clearly bounded pilot.

One incoming queue covering agreed rental-enquiry and fault-report scenarios. Availability, pricing and binding commitments remain with dispatch.

What we need to begin

  • An owner for the incoming number and examples of typical requests.
  • Required fields, a destination for requests and a defined route to human assistance.
  • A test line and agreed rules for providers, data, recording and deletion.
ASSESSMENT POINTS

Time to a usable request

From the end of the call to a complete draft reaching the responsible person.

Completeness of the details

We compare required fields and their values with information actually provided in the test call.

Repeated questions

We record when staff need to ask for information again and whether the cause lies in the call or the handover.

FAQ

Before we start.

Can the assistant make a binding booking?

In the first scope, it captures and passes on the request. Your staff confirm pricing, availability and booking commitments. Further actions would need explicit definition and testing.

What if a caller leaves information out?

The assistant asks for agreed required details. Anything still missing is flagged, with a defined callback or transfer to dispatch.

Is every call recorded?

Recording is not assumed. We agree on the data flow and test material. If recordings are needed, their prerequisites and use are established beforehand.
